POSE Self-Portrait Studio - Terms and Conditions
1. Introduction
POSE Studio offers clients a unique self-portrait experience in a professional studio environment. These Terms and Conditions ("Terms") form a public offer and govern the use of our facilities located at 65 Alfred Road, Studio 205, Great Western Studios, W2 5EU. By booking and using our services, you agree to be bound by these Terms. This contract becomes legally binding when you accept our services through booking.
2. Definitions
Client: The individual or entity booking and using the studio services.
Studio: The facilities, including all equipment provided, at POSE Self-Portrait Studio.
Session: The time booked by the client to use the self-portrait studio, including photography and usage of equipment.
3. Booking and Payments
3.1. All bookings are subject to availability and must be made through our website or by contacting support@posestudio.uk or +44 7869 393945.
3.2. Full payment is required at the time of booking, and the booking will not be confirmed until payment has been processed.
3.3. Because our sessions are leisure services scheduled for a specific date and time, the 14‑day right to cancel under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 does not apply to your booking.
4. Cancellation and Refund Policy
4.1. Your cancellation
If you cancel more than 72 hours before your scheduled start time, we will issue a full refund to the original payment method.
If you cancel with less than 72 hours’ notice, the session fee is non‑refundable. Where we are able to rebook your slot, we may, at our discretion, refund all or part of the fee or issue a studio credit.
4.2. One‑time reschedule (24‑hour window)
You may reschedule your booked time once, free of charge, provided you notify us at least 24 hours before your original start time. Rescheduling is subject to availability and must be arranged via email or phone. Any further reschedules, or reschedules requested with less than 24 hours’ notice, may be treated as a cancellation under clause 4.1.
4.3. Lateness and no‑shows
Arriving late does not extend your session. Failure to attend your booking without prior notice will be treated as a cancellation with less than 72 hours’ notice under clause 4.1.
4.4. Refunds will be processed within 14 days of a cancellation request or decision to provide a refund due to equipment failure.
4.5. POSE RESERVES THE RIGHT TO CANCEL ANY SESSION AT ITS SOLE DISCRETION IF THERE IS REASONABLE CONCERN THAT THE SESSION IS NOT BEING USED FOR ITS INTENDED PURPOSE OR IF THE CLIENT’S BEHAVIOUR COMPROMISES THE STUDIO’S ENVIRONMENT OR VALUES.
5. Promotions, Pop‑Ups and Special Offers
5.1. Definitions and scope
In these Terms, a Promotion means any time‑limited or special‑terms offer, including discount codes, price reductions, bundles, complimentary add‑ons, pop‑up events held on specified dates, and gift cards or e‑vouchers.
5.2. Precedence and interaction with Section 4
Unless expressly stated otherwise below, all bookings made under a Promotion remain subject to Section 4 (Cancellation, Rescheduling and Refunds). Where this Section 5 conflicts with Section 4 for a specific Promotion, this Section 5 prevails for that Promotion only.
5.3. Pop‑Up Sessions — special terms
Bookings for POSE Pop‑Up | Limited Edition sessions (or any pop‑up event held on specified dates) are treated as event‑style bookings. No reschedules and no refunds are available where you cancel or do not attend. The statutory 14‑day cooling‑off period does not apply to these time‑specific leisure services (Consumer Contracts Regulations 2013, Reg 28(1)(h)). If we cancel the session or make a material change, you may choose a full refund or a rebooking at no extra cost. Where we are able to rebook your slot, we may, at our discretion, issue a studio credit (less a reasonable admin fee). Nothing in this clause affects your statutory rights.
5.4 Discount codes and price promotions
a) One code per booking, to be applied at checkout; codes cannot be applied retrospectively.
b) Codes have no cash value, are non‑transferable and must not be resold.
c) Unless stated otherwise, codes apply to the session fee only (add‑ons excluded), cannot be combined with other offers and are subject to availability and capacity limits.
d) Exclusions may apply (including specific dates/times or Pop‑Up sessions).
e) If a booking benefiting from a code is partially cancelled or changed such that eligibility is lost, the price will be adjusted to the full, non‑discounted rate for the services actually taken.
f) We may decline, withdraw or amend a code where it has been misused or issued in error; existing confirmed bookings will not be adversely affected by a later withdrawal.
5.5. Bundles and multi‑buy promotions
Where a Promotion offers multiple sessions or a package price, cancellation of any element may cause the remaining elements to be re‑priced at the standard rate. Rescheduling follows Section 4 unless the Promotion states otherwise.
5.6. Third‑party promotions and resellers
If you purchase through a third party, your contract for payment and any cancellation/rescheduling must be handled with that seller under their terms. Our Studio Rules and health & safety requirements apply to your visit in all cases.
5.7. Withdrawal or change
We may withdraw or amend a Promotion for legitimate reasons (e.g. capacity or operational constraints). Changes do not affect bookings already confirmed under that Promotion.
6. Gift cards and e‑vouchers
6.1. Gift cards/e‑vouchers are not exchangeable for cash and are non‑refundable except as required by law.
6.2. Any remaining balance stays on the card; lost or stolen cards will not be replaced except where required by law.
6.3. Bookings made using a gift card are subject to Section 4 and these Terms.
7. Session Times
7.1 Start time
Your session starts at the time stated in your Booking. If you wish to access the studio earlier and the room is available, we may allow early access at our discretion. Any early access is chargeable in line with our current rates.
7.2 End time
Your session ends at the time stated in your Booking. Leaving early does not entitle you to any refund for unused time. Subject to availability, you may extend your session; please request any extension no later than 30 minutes before your scheduled end time. Extensions are payable at our prevailing rates. You must vacate the studio by the end of your booked (or extended) time.
8. Use of Studio and Equipment
8.1. The client is responsible for using the studio and equipment properly. Any damage caused by the client will result in additional charges for repairs or replacements.
8.2. Accidental damage caused through no fault of the client will be reviewed case-by-case.
8.3. The studio should not be used for illegal or inappropriate content. POSE reserves the right to terminate the session immediately if this occurs, without a refund.
9. Client’s Responsibilities and Liability
9.1. The client is responsible for their own safety and the safety of any personal belongings during their session. POSE is not liable for any injuries or lost property unless caused by our negligence.
9.2. The client must follow all health and safety guidelines provided by the studio during the session.
9.3. The client agrees not to leave the studio unattended or unsecured during their session.
10. Privacy and Data Protection
10.1. POSE respects your privacy and complies with the UK Data Protection Act 2018 and GDPR. All personal data collected during booking is stored securely and only used for service provision.
10.2. We process your personal data where necessary to perform our contract with you and to comply with legal obligations. We rely on your consent only for optional uses (such as marketing), and you can withdraw it at any time.
10.3. We do not use your images for our own purposes. Photographs from your session are processed automatically and stored for 7 days after your session date (see our Privacy Policy). We will not share or keep them longer without your explicit consent.
10.4. Clients have the right to request access to, modify, or delete their personal data, in accordance with the GDPR. Requests can be made via support@posestudio.uk.
10.5. We will only send you marketing communications if you opt in. You can withdraw your consent at any time by using the unsubscribe link or contacting us.
11. End of Session
11.1. The session ends when the client has completed their self-photography session and leaves the studio. Please ensure that you depart promptly at the end of your booked time to avoid overtime charges.
11.2. The studio should be left in a clean and tidy condition, ready for the next client.
12. Insurance and Indemnity
12.1. For commercial hires (e.g. corporate shoots), you must ensure appropriate public liability insurance is in place. This requirement does not apply to consumer bookings.
12.2. POSE is not responsible for any damages or losses caused by the client, and the client agrees to indemnify the studio for any claims arising from the client's actions during the hire period.
13. Governing Law
13.1. These Terms are governed by and construed in accordance with the laws of England and Wales.
